Can I amend errors in an uploaded file?

You will only be able to amend uploaded payments or transfers if your administrator has set your permissions to allow you to. To change your permissions your administrator should follow How do I Amend User Rights?

To amend your uploaded payments or transfers,

  • Select the payment or transfer you wish to change
  • Select Amend
  • The errors can then be amended
  • Select Next. If this is the first time you have paid this payee you will need to carry out the authorisation process or select Authorise Later if you wish to authorise the payment with others contained in the uploaded file. The payments or transfers will then be subject to the usual payment approval.

Yes - but:

  • payments to a payee template must reference an existing payee lookup name.
  • you cannot mix collated payment lists with any other type of payment types including other payment lists (i.e. a single debit and one or more credits)
  • You cannot mix payment and transfers in a single file

How do I convert my .xls payment file into a .CSV file?

How do I convert my .xls payment file into a .CSV file?

Once you have used our .xls template file found here, you will then need to convert this into a .csv format so that it is compatible with Coutts Online. Please follow the steps below to ensure you convert your file correctly:

  • Delete rows 1, 2 & 3 from your .xls template file.
  • Select File
  • Select Save As
  • Select CSV (comma delimited) from the Save as type box
  • Choose where on your pc you would like to save your file.
  • Click "Save"

You can now log in to Coutts Online and upload your .csv payment file. Do not open the .CSV file as it will lose some of the formatting. If you wish to view the contents of the file

  • Highlight the file
  • Right click
  • Select Open with
  • Choose Notepad

The file will open as a .TXT file and you will be able to see the details of the payments

Coutts Online supports (.csv) comma-separated values & (.txt) text file formats.

  • Select Payments and Transfers
  • Select Upload Payments and Transfers

All files uploaded today will be displayed. To view a single payment or transfer click on the uploaded file name and the underlying payments or transfers will be displayed.

To search for historic uploaded files

  • Select Search
  • Enter to dates From and To that you wish to search between
  • Select Search

The historic files will be displayed

Is it possible to control the type of payment that a user can upload?

Is it possible to control the type of payment that a user can upload?

Yes, a user can only upload payments for an account that they have the relevant payment or transfer entry permission for. There are four types of payment entry: Faster Payments, CHAPS, International and Inter Account Transfers.

Is it possible to restrict which users can upload payments?

No, any user that can enter a payment will also be able to upload. However, it is possible to control whether a user can amend uploaded payments once they are in the system. This is a user permission that your administrator can set

  • Select User Admin
  • Select Users
  • Select the User from the list
  • Select User Rights
  • Select Amend Uploads

The user will now be able to amend uploaded files from within Coutts Online. Users without this option would have to amend the source file and re-upload in the event that changes were required.
