You don't need to activate your smartcard when you get it as it's ready to use once you have changed the PIN.

Ordering a new smartcard for an existing cardholder automatically deactivates the existing card.

No, but an icon is present indicating that the payment has been keyed from a payee and if that payee is being used for the first time or has been changed since it was last used. It is also possible to restrict a user to only approve payments keyed from a payee..

Yes. Commercial administrators can give their Users the ability to change their authentication method from card & reader to CouttsID. To do this the administrator will need to select the optional feature User can enrol for CouttsID authentication within the User Admin section of Coutts Online.

No, you can only have one smartcard per user. If an administrator orders another smartcard for an existing cardholder, this will disable that user's current card.

No, the smartcard and smartcard reader are only required at login and when authorising a payment that is being made to a beneficiary for the first time.

This guide is designed to assist administrators in setting up new users and allocating permissions within Coutts Online. Please note, you will need to complete these steps before you and/or your users are able to make any payments or transfers.

As an administrator you will have been given access to User Admin which is where you will create new users and control their online access by allocating them permissions to allow them information on accounts, key different payment types and if required, approve payments. You will have been given the permissions to view balances and transactions and key payments on all the registered accounts but you can amend your own permissions in the same way as you would allocate them to a new user.

Administrators are also responsible for making the appropriate changes if a user is blocked, leaves the company, requires a new card or reader or wants to use CouttsID to login and authenticate payments and online changes.

Certain changes that are made will require authorisation which can be carried out either by using your card and reader or CouttsID. If you have not already opted to use CouttsID, you can enrol to use it which allows you to use your smartphone as a banking security device. To authorise an action, as well as login to the desktop, you will receive a CouttsID message which you can either choose to accept or reject. If you wish to use it we would recommend that you follow the Enrolling for CouttsID instructions before you begin to create new users.

Dual Administration – if dual administration was selected on the application form then changes that an administrator makes to a user will need to be approved by a second administrator before they take effect.

Messaging - the messaging service in Coutts Online provides every user with a way to contact Coutts from a computer, tablet or smartphone securely and without the need for encryption. It is recommended that all administrators and users create an alert so they are notified each time a new message is received from the bank.

No, the level of administration is set at user level and therefore 3 users could be subject to dual administration and another user could have single administration and therefore make changes on their own.

Not currently. It is up to the 1st administrator to advise you to approve the changes.

Temporary Passwords are sent to the user's email address by the administrator. To generate a temporary password

  • Select User Admin
  • Select User
  • Select the user from the list
  • Select User Details
  • Select Send Temporary Password and Confirm

Please be aware that the temporary password has a short validity period so the user must be available to use the password when it is generated.

If a user hasn't received their temporary password they should check their Spam/Junk email folder.

Temporary passwords cannot be used on desktop or tablet; they can only be entered on a smartphone device

The administrator for that User will need to give the User the option to enrol for CouttsID. To do this

  • Select the user from the list
  • Click on Users Details
  • Select Amend User
  • Select User can enrol for CouttsID Authentication
  • The User will now have to register for Coutts mobile and then enrol for CouttsID through the mobile app.

Complete the Create / Amend Administrator form detailing the changes required. The form must be signed in accordance with the Bank mandate and the original returned (excludes Trusts and Private clients).

To create a new user that will use CouttsID to login and authorise

  • Select User Admin
  • Select Users
  • Select New User
  • Enter the User Details
  • Select CouttsID as the Authentication Method
  • Select Save
  • Select Send Temporary Password
  • Select Ok

Once the user receives their temporary password they can access the service. Now allocate account permissions and user rights where applicable. Please note, you will need to complete these steps before the user is able to make any payments or transfers, refer to the Administrators Guide for details.

  • Select Activate

If you are a Touch ID user will you will be asked to confirm your password. If you do not know your password you will have the option to create a new password.

To remove a permission profile

  • Select User Admin
  • Select Users
  • Select the User that requires the profile removed
  • Expand User Details
  • Select Amend User
  • Select No Profile from the profile from the drop down list
  • Select Save

By removing the profile, changes can be made to the individual user's permissions.

Each individual user who can approve payments can be set up to approve either all or a combination of these types of payments

  • Inter Account Transfers
  • Faster Payments
  • CHAPS
  • International payments
  • Withdrawal Notices (can only be selected where notice accounts are held)

Separate limits can then be set for the users depending on how the types of payments are entered

  • Free format
  • From a saved payee
  • Uploaded into the system

These limits can be specified as unrestricted, where the user can approve up to this limit on their own, or dual approval, where a second user is required to review the payment before it is sent for processing.

Complete the Create / Amend Administrator form which can be used to either make an existing user an administrator temporarily under dual restrictions or lift the dual restrictions temporarily to allow the current administrator to make the changes alone (excludes Trusts).

The form must be signed in accordance with the Bank mandate and should only be used in exceptional circumstances.

If you are a Commercial user, please ask your administrator to order a replacement.

If you are a Private client and have a spare card reader, you can order a replacement online once you have logged in. To do this:

  • Select Services
  • Select Online Request
  • Select New Request
  • Select Order Smartcard Reader
  • Select Next
  • Select Confirm
  • Select OK

The reader is now ordered. To check the details, select the order from the list of requests in the last month. Details of the delivery address are displayed here.

An administrator is the person within the Company with responsibility for carrying out routine administrative tasks to ensure the effective operation of online. These include creating new users and controlling the levels of access that user have to the service.

Smartcard authorisation is a security measure. When making a payment to a payee for the first time, you'll be prompted to enter a code, which is generated by your smartcard and smartcard reader. Details on how to enter the authorisation code are displayed on the screen and has to be completed by logging in to Coutts Online using your card and reader, not via the mobile app.

There's no charge for replacement smartcards or readers.

When and how will I receive my smartcard and card reader?

When and how will I receive my smartcard and card reader?

You should receive your smartcard and reader, at the address listed in User details, within five working days of ordering. We'll send your PIN separately, to the User address, and this should arrive within five working days of ordering.

Who do you send the new smartcard to?

The smartcard goes to the administrator but the PIN will go direct to the user.
